The Wellbeing Folk are committed to ensuring that your privacy is protected, and that all personal information is treated in accordance with the Data Protection Act 1998 and the General Data Protection Regulation (“GDPR”). The aim of this policy is to provide you with peace of mind about how we use your data in an ethical way.
Your Personal Data
Our aim is to safeguard the privacy of our customers whilst providing a personalised and valuable service. The information you are asked to provide is used solely for us to effectively interact with you, deliver and improve our services, and, subject to your consent, inform you on upcoming events, services and special offers. Should you not wish to receive this information, there is a simple and effective way to opt-out at your discretion. However, we will still contact you directly in relation to your specific service-related notifications, such as confirmation of appointments or workshop bookings ie services that directly relate to you.
We never share or sell your information to third party organisation, and we do not collect or keep any information other than what is necessary to ensure your safe and secure interaction with ourselves (see below for data storage). Information is deleted once we are no longer legally required to retain it.
How We Store Your Data
For online bookings relating to therapeutic bodywork, we use Acuity Scheduling which has Privacy Shield certification which complies with GDPR regulations related to transferring data outside of the EU .
Course Bookings
Identity Data may include your first name, last name
Contact Data may include your home/business address, email address, website and telephone numbers.
Financial Data is not collected without your consent:
All payments are collected either by Square or BACS transfers.
Transaction Data may include details about payments made by yourself for course bookings.
Your personal data will be stored and be accessible by approved personnel at the Wellbeing Fok specifically in relation to your booking
Should you choose to opt-in to newsletter communication, you will receive the information through usual channels
Your information will never be shared to any third-party organisations.
We will only contact you with regards to offers and events from the Wellbeing Folk and will never send spam to you.
Client Consultation Forms
Identity Data includes your first name, last name, date of birth.
Contact Data includes your home address, email address and telephone numbers.
Health Data: The medical & emotional questions are required so that you are provided with a safe and ethical therapeutic treatment for you.
Sensitive Data: We do not collect any Sensitive Data about you. Sensitive data refers to data that includes details about your race or ethnicity, religious or philosophical beliefs, sex life, sexual orientation. We do not collect any information about criminal convictions and offences.
Financial Data is not collected without your consent:

Transaction Data may include details about payments made by yourself for treatments.

Your information will not be shared to any third-party organisations.

Data Retention:
By law we must keep basic information about our customers (including Contact, Identity, Financial and Transaction Data) for six years after they cease being customers for tax purposes.
We will only retain your personal data for as long as necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, accounting, or medical requirements
Record Keeping
Your consultation forms are kept securely using encryption. Any paper copies are kept in a locked metal cabinet
Your files are not viewed or accessible by anyone other than approved personnel at the Wellbeing Folk, unless your explicit consent is given by yourself to share with other therapists.
Third Parties
All data is securely stored and only shared by the management and administrative team at the Wellbeing Folk. Where we engage third party contractors (e.g. teachers and therapists) to perform services for us, those third-party contractors may be required to handle your personal information. Under these circumstances, those third-party contractors must safeguard this information and must only use it for the purposes for which it was supplied, although we are not responsible for ensuring this. Other than the above, we will not disclose your personal information without your consent except when required by the law in compliance with provisions of GDPR.

Marketing Communications
By joining our mailing list, you are consenting to receive emails relating to upcoming events and special offers. Sue Lancaster uses a third-party software called Mail Chimp to generate these emails. Cookies
This website uses cookies that don’t collect uniquely identifying information but assist in the website experience to the user. The website is hosted by Squarespace.com who are certified through Privacy Shield. (click here for a detailed explanation of how the Privacy Shield requirements align with the new GDPR guidelines). The same applies to google analytics cookies. Neither uniquely identify an individual but both are a necessary piece of functionality for the smooth running of our website.
Access Request
